The quick answer
Payment reconciliation asks whether recorded collections agree with money actually received. Cash in the drawer, a UPI confirmation and a card settlement may arrive at different times and require different evidence.
A saved payment method or displayed QR code does not prove bank receipt. Dukanam records help organise the comparison, but the owner still needs to check cash, payment-provider reports and bank statements.

Work through the steps
Set the closing period
Use a clear cut-off and include collections for older credit bills separately from today’s sales. Keep refunds distinct. A total sales figure alone cannot explain the day’s money movement.
Count the cash drawer
Start with opening cash, add actual cash receipts and subtract cash refunds, expenses and withdrawals. Compare expected cash with the counted amount. Record reasons for differences rather than altering sales to make them disappear.
Match UPI references
Check transaction status and amount in the relevant payment or bank record. Identify failed, pending or reversed transactions. A QR display and customer screenshot must not automatically mark the bill paid.
Match card settlements
Compare provider transaction reports with bank settlements. Fees and timing may explain a lower or later deposit. Preserve the gross amount, fee evidence and settlement reference for your accountant.
Investigate differences
Check duplicate receipts, wrong payment methods and refunds entered on another day. Ask for evidence where needed. Escalate unexplained shortages to the owner without blaming staff before checking records.
Close and retain the reconciliation
Record the approved result and unresolved items. Carry genuine pending settlements forward with references. Use the next bank statement to clear them rather than silently resetting the difference.

₹1,000 + ₹4,000 − ₹500 − ₹1,000 = ₹3,500 expected cash. UPI and card receipts should be reconciled separately to their evidence.
Common mistakes to avoid
- Treating total sales as drawer cash.
- Counting a card fee as a missing customer payment.
- Accepting every UPI screenshot without verification.
- Hiding shortages by changing invoice values.

Why is a card deposit smaller than the recorded receipt?
A documented provider fee or settlement adjustment may explain it. Check the actual report rather than assuming the reason.
