How to close a shop’s billing and cash records each day

Review bills, stock exceptions, collections and unresolved items before the next trading day.

The quick answer

Daily closing makes small errors easier to resolve while the evidence is fresh. Agree the cut-off time, confirm that the day’s transactions are recorded and compare collections with actual cash and payment evidence.

Dukanam reports and balances support this review. A closing checklist should explain differences and carry genuine pending items forward. Do not change sales just to make the drawer match.

Before you begin

  • A closing cut-off and responsible reviewer.
  • Bills, returns, receipts and expense records.
  • Cash count and UPI/card/bank evidence.

See how the pieces connect

  1. Complete

    Record missing supported transactions.

  2. Match

Reconcile money and major stock exceptions.

  3. Resolve

    Explain differences or assign follow-up.

  4. Close

Retain the result and opening position.

Work through the steps

  1. Check document completeness

Review bill references and ensure legitimate transactions were saved once. Separate cancelled, corrected and returned documents through supported workflows. Investigate unexplained gaps without assuming every gap is fraud.

  2. Count and reconcile cash

Start with opening cash and account for receipts, refunds, expenses and owner movements. Compare expected and counted cash. Document any material difference and obtain the appropriate review.

  3. Review digital collections

Match UPI references and card reports to recorded payment methods. Identify pending or reversed transactions. Keep settlement timing and fees distinct from unpaid customer balances.

  4. Check credit and supplier movements

Review new credit sales, collections against older bills, purchases and supplier payments. Confirm each movement belongs to the correct party. Keep unresolved amounts visible with references.

  5. Review stock exceptions

Check unusual negative quantities, returns, damage and incomplete transfers where relevant. A full physical count is not necessary every day, but high-risk differences need prompt investigation.

  6. Retain the closing note

Record who checked the close and the unresolved actions. Carry verified opening cash and pending settlements into the next period. Keep documents accessible and follow the shop’s retention and access rules.

An actionable closing note

Illustrative review structure.

Check Record to keep
Cash Expected amount, counted amount and difference
Digital receipts Matched references and pending settlements
Credit New dues and allocated collections
Exceptions Reason, owner and next action

Closing is useful when an unresolved item has a reference and a person responsible for resolving it. A tick without evidence does not reconcile the records.

Common mistakes to avoid

  • Closing before missing receipts are entered.
  • Forcing differences into a fake sale.
  • Ignoring pending card settlements.
  • Carrying unexplained balances forward without ownership.

Questions you might have

Must I count every item daily?

No. Use a suitable cycle-count approach and check unusual or high-risk stock movements at closing.

Should I reset pending settlements to zero?

No. Carry genuine pending items with references and clear them when supported evidence arrives.
