How to track a GST application and respond to clarifications

Use TRN, ARN and notice references correctly, monitor the application and submit a clear response to registration queries.

The quick answer

TRN reopens a draft. ARN identifies an application after its generation conditions are met. A clarification notice asks for a response; it does not automatically mean you should abandon the application and apply again.

Read the actual notice, requested evidence and response deadline. Explain the stated issue and retain the submission acknowledgement. Processing time and approval depend on the application and checks, not on a general website’s promise.

Before you begin

  • TRN or ARN and access to the registered contacts.
  • The submitted application and supporting files.
  • The actual notice, reference and response deadline.

See how the pieces connect

  1. Locate

    Find the correct application reference.

  2. Read

Identify every query and its deadline.

  3. Respond

Correct or explain each point with evidence.

  4. Retain

Save acknowledgement and monitor the decision.

Work through the steps

  1. Identify the current stage

If you only have a TRN, reopen the draft through the relevant registration option. Check unfinished tabs and authentication instructions. Completing Part A does not necessarily generate ARN.

  2. Use official application tracking

Open the portal’s registration tracking service and enter the requested reference. Check the status together with email and portal communications, including authentication or appointment instructions.

  3. Download the actual notice

Open any clarification through the relevant application service. Note the queries, notice date and response deadline. A short tracking-status label does not contain all the requested evidence.

  4. Prepare a point-by-point explanation

Answer each query in order. Explain address or name differences, attach relevant evidence and correct fields where allowed. An unexplained folder may not resolve the issue raised.

  5. Submit through the clarification service

Use Services → Registration → Application for Filing Clarifications where applicable. Follow the reference and verification steps shown. Preview the response and submit using the permitted signing method.

  6. Retain and follow up

Save the response wording, attachments and acknowledgement. Monitor for further instructions or a decision. Seek help promptly if a query is unclear or a deadline cannot be met; silence does not extend the deadline.

Translate each query into a response task

Illustrative issues. Your own notice determines what must be answered.

Query Task Record to save
Premises mismatch Explain and provide matching evidence Corrected field and attachment
Signatory authority unclear Supply applicable authority evidence Authorisation copy
Unreadable document Upload complete legible scan Submitted version and receipt

A good response addresses the specific query and shows what changed. Reuploading the same evidence without explanation can leave the issue unresolved.

Common mistakes to avoid

  • Entering TRN in a service asking for ARN.
  • Reading only the status and missing the notice deadline.
  • Answering only one of several queries.
  • Creating a duplicate application without checking the pending one.

Questions you might have

Does a pending status guarantee approval?

No. Verification, clarification or a registration decision may still be outstanding. Continue checking official communications.

What should I check after approval?

Confirm the GSTIN, legal name, effective date and taxpayer type on the approved record before updating billing.
