Documents required for GST registration: a shop-owner checklist

Organise identity, constitution, signatory and premises evidence before opening the GST registration form.

The right checklist starts with your business structure and right to use the premises. A proprietorship, partnership and company do not have identical evidence. The live REG-01 form requests documents based on the selected constitution, people and occupancy type.

Keep readable originals and separate upload copies. Consistent names and addresses reduce avoidable clarification work, but a complete folder does not guarantee approval. The portal’s accepted document choices determine the requirements for your application.

Work through the steps

  1. Create folders by application section

    Separate constitution, person, authorisation and premises files. Name documents by their purpose rather than placing every scan into one unexplained file. Keep the full originals separately.

  2. Prepare constitution evidence

    A partnership may need its deed; a company or other constituted entity needs relevant formation evidence. Select the true constitution first, then use the documents the portal requests for that type.

  3. Prepare the requested person records

    Keep PAN-linked names, photographs and relevant identity information for the persons requested by the form. Use names from their actual records rather than shop nicknames or abbreviated contact labels.

  4. Prepare signatory authority

    Organise the applicable authorisation or board resolution and acceptance where required. Access to a phone that receives messages does not by itself establish authority to act for the business.

  5. Match premises evidence to occupancy

    Use accepted ownership evidence for owned premises. For rented or consent premises organise the applicable agreement or consent and the owner’s supporting premises evidence. Check that the address matches the application.

  6. Check scans and file limits

    Keep relevant pages, signatures and addresses readable after compression. Use the file formats and size limits shown by the portal. Share identity files only with authorised people who need them.

  7. Compare the final form with the folder

    Before submission, check every name and address against the evidence. Save the submitted application and later clarification responses with version dates so old files cannot be confused with current ones.
