Work through the steps
Define the goods and quantity
Use precise specifications, item references, pack sizes and quantity units. Include supported certificates only where held or obtainable under the terms. Do not quote a unit that differs from the buyer’s requested unit.
State the currency and delivery basis
Specify the currency and agreed named place. Where Incoterms are used, identify the rule, named place and edition correctly with adviser input. Do not assume a delivery abbreviation defines all payment or ownership terms.
Calculate the quotation
Separate goods value, agreed charges, discounts and any applicable tax treatment. State whether freight or insurance is included. Allow for cost and exchange exposure without presenting an estimate as a guaranteed final bank rate.
Set validity and payment terms
Include quotation date, reference, validity, lead time and payment milestones. Clarify assumptions and document responsibilities. Confirm amendments in writing and retain the accepted version.
Prepare the actual commercial invoice
Use verified shipment quantities and the currently required fields. Align parties, references, currency, value and delivery terms with the agreement and packing list. Resolve a short shipment through the proper documented revision.
Reconcile the shipment and receipt
Check the invoice against customs/transport documents and buyer acceptance. Record actual receipts and any charges separately. Keep the document trail and confirm tax and banking treatment with the relevant advisers.
