GST filing mistakes to check before submission

Use a practical pre-filing review for periods, invoices, credits, liabilities and proof of filing.

The quick answer

Many GST errors start before opening the return: the wrong period, incomplete invoices, omitted credit notes or an unexplained purchase mismatch. A final check should trace every material figure to reconciled records and identify the person responsible for each unresolved item.

GSTR-1 and GSTR-3B are connected but serve different purposes. A successful upload, saved form or paid challan is not final proof that the relevant return has been filed.

Before you begin

  • The complete period pack and current filing profile.
  • The reconciled sales register, purchase evidence and relevant GST statements.
  • An exception list, authorised reviewer and signing access.

See how the pieces connect

  1. Scope

    Confirm GSTIN, form and period.

  2. Data

Check invoice identity, values and adjustments.

  3. Treatment

Review liability, credit and payment rules.

  4. Evidence

Confirm final filing and retain the pack.

Work through the steps

  1. Confirm identity, form and period

Check GSTIN, financial year, monthly or quarterly profile and relevant due date. Review prior-period prerequisites and current extensions. Similar dashboard tiles can lead to filing the wrong period.

  2. Check invoice numbers and customer details

Look for duplicates, missing sequences, wrong GSTINs and incorrect place-of-supply details. Include cancelled-document evidence. Do not silently overwrite an issued document to repair an export.

  3. Check notes, amendments and special supplies

Review sales returns, credit/debit notes, exempt supplies, exports and reverse-charge facts. Compare document-level evidence with the applicable return categories rather than reporting only ordinary sales.

  4. Check credits separately

Reconcile purchase evidence, GSTR-2B and applicable IMS outcomes. Assess eligibility, restrictions, reversals and previous claims. A matched record is not an automatic credit entitlement.

  5. Check liability and payment trail

Compare tax components, cash requirements, credit utilisation and any interest or late fees. Confirm the challan’s ledger effect and the return’s payment/offset steps. A bank debit alone is insufficient evidence.

  6. Preview and assign unresolved issues

Review the generated summaries and explain differences. Resolve blockers before signing. Keep a named owner and supporting note for a legitimate adjustment rather than changing figures to make a total look tidy.

  7. Confirm Filed and archive evidence

After authorised submission, confirm Filed status and retain the final return, acknowledgement, payment evidence and reconciliation. Keep separate proof for each form and period.

Each status needs its own evidence

Use this as a final review sheet with your actual references.

Check Evidence Why it matters
Correct period GSTIN and dashboard period Avoids filing the wrong return
Correct supplies Register and notes reconciled Avoids omitted or duplicated transactions
Correct credit Eligibility and mismatch review Avoids unsupported or double claims
Correct payment Ledger and offset records Distinguishes payment from filing
Completed filing Filed status and acknowledgement Confirms the return was submitted

The checklist is complete only when the evidence is saved. A remembered click or a draft screenshot cannot replace the final acknowledgement.

Common mistakes to avoid

  • Treating save, upload or preview as final filing.
  • Ignoring quiet-period transactions when selecting nil filing.
  • Using old thresholds, due dates or portal screenshots without checking updates.
  • Assuming the software export automatically files the return.

Questions you might have

Can a checklist eliminate every GST error?

No. It helps catch common record and workflow errors. Complex supplies and legal treatment still need appropriate review.

What should I do after discovering an error?

Identify the form, period and document and use the current permitted correction process. Do not assume deleting a local record changes a filed return.
